Answer phone, direct to appropriate person and / or take messages. Assist with typing of the Banquet and Sales correspondence, i.e. answering mail, confirming banquet arrangements, menus, BEO, FP, memos etc. Promptly respond to all inquiries. Study requirements of all booked banquets and functions to familiarize and ascertain the possibility of selling additional facilities to produce extra revenue. Send Banquet event proposals to the guests and maintain timely contact with them. Call customers to remind them before cut-off dates. Ensure that all administrative documents are prepared for the hotel sales team. Act as a liaison between all related hotel departments and the host of the function. Ensure orders and requisitions for the Catering and Banquet departments are completed. Respond and act upon any special requirements requested by the function host. Maintain the entire sales correspondence database. Maintain all client information and folders. Coordinate with Banquet operations on a timely basis to ensure complete customer satisfaction. Update DSR (Daily Sales Report) and revenue projection daily. Update Catering and Banquets calendar on the Sales and Catering software. Answer telephone inquiries, accurately transfer calls to appropriate Sales / Catering Associate, and take accurate and detailed messages. Assist the sales team in the area of telephone prospecting and outside sales blitzes by contacting clients from an established list developed by the sales team. Assist sales team in retrieving rooming lists, deposits, and banquet guarantees when needed. Keep an up-to-date A / R Check Log. Prepare sales kits for the sales team. Coordinate all aspects of events such as room set-up, menu planning, audio-visual requirements, distributing BEOs, and communicating changes, ensuring groups meet or exceed their F&B Minimums; attend BEO meetings as necessary.
