Job description

Job Purpose

Provide high level of clerical support for various department activities adhering to established Company procedures and processes ensuring accuracy and compliance.

Reporting and Relationships

Reports to Sr. Project Manager or Project Manager.

Internal

Regular contact with department secretarial support within Major Projects and focal points across the Company.

External

Occasional contact with external consultants and suppliers.

Observe and apply strict levels of confidentiality, decorum and discretion to all matters related to performance and administration of personal affairs.

Ensure all activities are undertaken in compliance with Company Safety, Health and Environment and Quality policies, regulations and standards.

Ensure all activities undertaken comply with anti–trust and competition laws and the Company firewall policies and procedures.

Key Job Accountabilities

Review databases in order to maintain reliability, accuracy and quality and ensures reliability of information gathered for the databases.

Maintain, organise, analyse, update and retrieve data from SAP, Access, appropriate data files and update records accordingly in SAP and / or other corporate systems.

Prepare data of a complex nature in order to generate required reports and presentation.

Anticipate and resolve information processing and handling problems proactively in order to avoid disruptions.

Review and cross check complex clerical work for accuracy and compliance.

Provide a point of reference on particular aspects to colleagues for guidance to precedence, practices and techniques.

Assist superiors in preparation and compilation of reports, statistics and presentations.

Qualifications

Completion of Secondary School Education (12 years).

Knowledge and / or Experience

5 years relevant experience.

Technical and Business Skills

Proficient command of written and spoken English.

Advanced keyboard and PC Skills.

Advanced knowledge of standard computer software.

Knowledge of some financial and budgetary processes
