SCOPE OF JOB

To provide administrative support to the assigned Supervisor / manager. To ensure efficient and professional support & coordination services to the assigned department / section / team

RESPONSIBILITIES

Deals with all incoming and outgoing correspondence, communications, documentations and reports as per specific instructions and company procedures in a timely, accurate and professional manner.

Ensures effective and timely distribution of information and reports. Maintains an up to date, effective and comprehensive technical documentation and filing system for all correspondence, documentation and reports.

Develops, maintains and improves various office administration tools and systems, such as logbooks, time-sheets, store and purchase orders, etc. to ensure smooth and effective administration of the office.

Maintains department / section(s) manual and computerized database and Management Information System.

Processes and updates data on SAP including work orders, stock orders, purchase orders, etc.

Provides technical and administrative assistance to the department / section(s) / team(s) in various data gathering, reporting, planning and coordination tasks.

Administrates department / section(s) / staff time sheets and work schedules.

Administrates and processes the invoices and duty travels. Prepares cost estimations. Supports the assigned department / section(s) in budgeting and cost control.

Ensures confidentiality of all assigned work.

Conducts all work activities in a safe and environmentally responsible manner at all times by not taking on any tasks(s) that are perceived to be unsafe.

Complies with the Dolphin QHSE Management System.

Reports all incidents or near misses to supervisor / manager or a QHSE representative

13) Performs other similar or related duties as required or assigned by supervisor / manager.

Deals with all incoming and outgoing correspondence, communications, documentations and reports as per specific instructions and company procedures in a timely, accurate and professional manner.

QUALIFICATIONS & EXPERIENCE

Educational Requirements / Qualifications :

  • Diploma (2 yrs) preferably in a relevant subject or equivalent combination of relevant experience and training.

Experience :

  • 3 – 5 years’ experience in similar administrative and support role in a large organization preferably in oil / gas.
