Receiving Agent

Job Summary

The Receiving Agent is responsible to facilitate the efficient receipt and inspection of incoming goods and materials. This involves verifying the accuracy of shipments, inspecting items for damage or defects, and ensuring that all received items are properly recorded and documented in the procurement system. Additionally, Receiving Agents may be responsible for coordinating with suppliers and internal departments to resolve any discrepancies or issues with deliveries, as well as organizing and managing the storage of received inventory. Their primary goal is to ensure the timely and accurate receipt of goods, contributing to the smooth operation of the procurement and supply chain processes.

Job Responsibilities

Verify the accuracy of incoming shipments against purchase orders, packing lists, and delivery documents to ensure that the correct items and quantities have been received.

Inspect received goods for damage, defects, or discrepancies, noting any issues and documenting them accurately for further action.

Record all received items in the procurement system or inventory management software, updating inventory levels and maintaining accurate records of receipts and transactions.

Communicate with suppliers, carriers, and internal stakeholders to coordinate delivery schedules, resolve delivery discrepancies, and address any issues or concerns related to received items.

Ensure that received goods meet quality standards and specifications, rejecting or quarantining items that do not meet requirements and organizing and storing received inventory in designated locations within the warehouse or storage area, ensuring proper handling and storage conditions to prevent damage or deterioration.

Prepare and maintain documentation related to receiving activities, including receiving reports, inspection records, and discrepancy reports, and provide regular updates to management on receiving performance and issues.

Ensure compliance with procurement policies, procedures, and regulatory requirements related to receiving activities, including health and safety regulations, import / export regulations, and Company policies.

Identify opportunities for process improvements in receiving operations, such as streamlining procedures, optimizing storage layouts, or implementing new technologies, to enhance efficiency and effectiveness.

Collaborate with other members of the procurement and supply chain team, including buyers, inventory managers, and logistics coordinators, to support overall procurement objectives and ensure seamless coordination of receiving activities with other supply chain functions.

Job Knowledge & Skills

Understanding of procurement and supply chain processes, including receiving, inventory management, and logistics, to effectively perform receiving duties within the broader supply chain context.

Keen attention to detail to accurately verify and inspect incoming shipments, ensuring that items match purchase orders and meet quality standards.

Proficiency in using inventory management software or ERP systems to record and track received items, update inventory levels, and generate receiving reports.

Strong communication skills to interact with suppliers, carriers, and internal stakeholders, facilitating clear and effective communication regarding delivery schedules, discrepancies, and resolution of issues.

Problem‑Solving Abilities : Ability to quickly identify and resolve receiving issues, such as discrepancies, damaged items, or delivery delays, using analytical thinking and problem‑solving skills to ensure smooth receiving operations.

ERP knowledge, preferably SAP functional skills, are a requirement to be successful in this role.

Job Experience

Minimum 5 year(s) working experience, 3 year(s) relevant working experience, 2 year(s) GCC is a plus.
