General Description:
We are seeking a meticulous and detail-oriented Document Controller to join our
Division. The ideal candidate will be responsible for managing, organizing, and
ensuring the integrity of all quality-related documents. This role involves coordinating
the accessibility, retrievability, and security of documents in compliance with
organizational standards and regulatory requirements. The Document Controller will
play a crucial role in supporting the Quality Division's objectives by maintaining
accurate records and facilitating effective information management .

Key Roles and Responsibilities:
Implement and manage document control processes and systems for the Quality
Division, ensuring compliance with ISO standards and other regulatory requirements .
Maintain and organize quality management system documentation, including policies,
manuals, SOPs, work instructions, forms, and quality records .
Ensure that all documents are up to date, properly named, and stored in accordance
with the company's document lifecycle procedures .
Issue the correct codes for new documents.
Coordinate the review and revision of documents, facilitating communication between
departments to ensure timely updates and approvals .
Store and archive documents accurately in their designated folder in the document
repository.
Distribute and control the issuance of documents and revisions to relevant
stakeholders, ensuring that current versions are accessible and previous versions are
archived .
Support in audits and inspections by providing necessary documentation and audit-
related materials .
Train staff on document control procedures and the use of document management
databases .
Monitor compliance of document control procedures and identify opportunities for
improvement .
Collaborate with IT department to ensure document management systems meet the
needs of the Division and are maintained appropriately .
Handle confidential information with integrity and discretion .
Experience, Professional Qualifications & Criteria
Experience:
Experience in business administration, Information Management, Quality
Assurance, or equivalent .
Professional Memberships and Certifications
Proven experience as a Document Controller, preferably within a Division
Strong understanding of document control principles, practices, and standards,
including ISO 9001 .
Proficient in the use of document management software and MS Office Suite.
