Job Title: Data Entry Operator / Documentation Assistant

1. Primary Purpose of the Role

The Data Entry Operator / Documentation Assistant is responsible for retrieving, organizing, and managing technical data related to systems, equipment, and subcomponents across Mechanical, Electrical, Process, and Instrument disciplines. The role also supports document control, database preparation, and reprographic services for both hard and soft copy technical documentation.

2. Key Duties & Responsibilities

• Search, identify, and retrieve technical data related to equipment, systems, and subcomponents across multiple disciplines.
• Prepare and maintain databases in accordance with specified formats, field requirements, and application standards.
• Identify and classify engineering drawings and technical documents based on parameters such as location, discipline, and equipment classification.
• Scan and convert hard copy drawings and documents into required digital formats and sizes.
• Provide reprographic services including printing, photocopying, and document reproduction using plan printers and copiers.
• Handle document control activities, ensuring proper storage, tracking, and retrieval of technical data.
• Initiate, monitor, follow up, and close work permits on a daily basis.
• Ensure accuracy, consistency, and completeness of all entered and managed data.
• Coordinate with various departments to collect and verify technical documentation.

3. Educational Qualifications

• Higher National Diploma (3-year course) in Mechanical Engineering or related field.
• Good knowledge of Instrumentation and Electrical drawings and documentation.
• Certification in Microsoft Excel, Word, and Access is mandatory.
• SAP knowledge is essential.

4. Experience Requirements

• Minimum 7 years of experience in refinery or petrochemical facilities.
• Strong understanding of both manual and electronic document control systems.
• Experience in handling technical documentation across Mechanical, Electrical, Process, and Instrument disciplines.
• Proficiency in Microsoft Office applications (Excel, Word, Access).
• Minimum Level 3 proficiency in English communication.

5. Pre-Qualification & Certifications

• Valid Higher National Diploma certificate (3-year duration).
• Minimum 7 years of relevant experience certification.
• Ability to read, interpret, and organize technical drawings and documents across multiple engineering disciplines.
• Strong database preparation and data management skills.

6. Age Limit
