This generic job opening aims to build a diverse pool of qualified candidates for future Executive Assistant roles at HEC Paris Doha. The Executive Assistant provides high-level administrative support to senior executives overseeing institutional and cross‑functional projects and serving as a key communications and logistics interface between senior leadership and internal / external stakeholders.
Key Responsibilities
- Provide administrative and logistical support to senior executives
- Manage calendars and respond to all scheduling requests; determine the priority and routes of incoming correspondence and requests and refer matters as appropriate; plan and coordinate business travels; prepare all expense reports accurately and in line with internal policies and procedures;
- Take meeting minutes assist with the documentation of high‑level meetings and events and follow up on meeting action items;
- Draft and review memoranda, correspondence, presentations, decks, reports, handouts and other documents often of a highly sensitive and confidential nature in support of objectives for the organization;
- Lead institutional and transversal projects as required;
- Maintain highly effective working relationships with officials from other partner universities, executives and managers, business and community organizations;
- Provide an essential communications interface between senior leadership and internal departments.
Qualifications
University degree; a Master’s degree is preferredA minimum of 5 years in a similar role preferably in communications, research or a diplomatic settingAdvanced level in MS Office (Word, PowerPoint, Excel)Excellent command of English; other languages (Arabic, French) are a plusDemonstrated experience working effectively with senior executives and individuals from diverse cultural backgroundsDiscrete, politically astute and capable of maintaining high levels of confidentialityExcellent research and analytical skills including the ability to research, analyze and effectively integrate diverse information from varied sourcesOutstanding organization skills; proactive and dependableAttention to detail and commitment to delivering high‑quality resultsProven problem‑solving capacity with the ability to anticipate challenges, proactively identify potential issues and develop effective solutionsFlexibility and willingness to adapt working hours to business needsPrior experience in Qatar or the GCC preferredAdditional Information
