The Operations Project Coordinator leads and coordinates key projects to improve processes and enhance service delivery across departments. The role involves supporting current operations by analyzing workflows to identify improvement opportunities and contributing to the implementation of new initiatives, systems and tools.
Key Responsibilities
Faculty Operations support
- Manage faculty operations with a focus on overseeing the yearly workload or Plan de Charge (PDC) and ensure alignment with institutional workload planning.
- Provide regular updates to faculty members on their PDC status, resolve discrepancies and ensure compliance with established PDC guidelines.
- Maintain accurate and organized documentation related to the PDC for easy reference and audit readiness.
- Validate the PDC against entries in Sharepad (course and payment management system) at year‑end to ensure consistency and data integrity.
- Act as liaison with the Faculty Support teams and Doha‑based faculty to support with Academ requirements (faculty workload management system).
- Manage the procurement onboarding process for external faculty contracts and monitor their progression through completion.
- Ensure the effective communication of faculty pay grids to appropriate internal stakeholders and follow up on faculty payment issues when necessary.
- Act as primary contact for faculty policy updates in alignment with the Main Campus and establish processes to ensure faculty policies are well‑defined, understood and followed efficiently by all relevant stakeholders.
- Manage faculty data reporting and develop processes to anticipate future stakeholder requests.
Strategic Initiatives Coordination
Coordinate cross‑functional efforts for strategic initiatives to ensure timely execution and alignment with institutional goals.Collaborate with internal stakeholders and external vendors to define project scope, establish timelines and monitor progress.Gather and analyze stakeholders’ needs to inform project development while proactively identifying potential risks and proposing practical solutions.Ensure proper documentation and communication for each project phase from initiation through completion, including follow‑up on outcomes and impact.Support the development of new initiatives as they arise, maintaining flexibility and a problem‑solving mindset in response to evolving operational needs.Qualifications
Bachelor’s degree in business administration or a related field.6 years of work experience in project coordination or / and project management.Excellent verbal and written communication skills in English and French; Arabic is advantageous.Advanced level in MS Pack Office (Word, PowerPoint, Excel).Ability to work effectively across teams and departments.Strong customer service skills and ability to work collaboratively and courteously with different stakeholders.Experience in proactively managing third‑party contractors to ensure they deliver.Strong organizational and time‑management skills capable of handling multiple tasks and projects simultaneously while prioritizing stakeholder needs.Attention to detail and commitment to delivering high‑quality results.Proven problem‑solving capacity with the ability to anticipate challenges, proactively identify potential issues and develop effective solutions.Demonstrated ability to handle confidential information with discretion and professionalism.Ability to work under pressure in a fast‑paced environment.Flexibility to work extended periods during peak periods.Prior experience in Qatar or the GCC preferred.Additional Information
