Overview
Assist the Purchasing Manager in the end-to-end procurement process, including tendering, evaluation, and awarding of material supply and delivery contracts, ensuring compliance with AZF policies and procedures from purchase requisition (PR) to purchase order (PO).
Responsibilities
- Update and maintain master data for tender reports.
- Keep end users informed on the status and progress of their requests.
- Assist in compiling data for routine and ad hoc reports.
- Ensure proper archiving of documents (both soft and hard copies) in line with approved guidelines.
- Utilize and comply with IMS forms and templates.
- Review variation orders received from end users and provide recommendations in accordance with AZF regulations and contract provisions.
- Issue variation orders through PCM as required.
- Receive tender bonds and coordinate their release to bidders upon contract award.
- Update all awarded contracts in the system for ongoing monitoring.
- Undertake any other responsibilities as assigned by the direct supervisor.

- Communicate regularly with end users to provide updates on the status of their requests.

- Utilize and adhere to IMS forms and templates for all relevant documentation processes.
