JOB SUMMARY : The Clinical Support Assistant -Clinical Nutrition and Dietetics is responsible to assist medicalprofessionals in a clinical setting to maintain systems, documents,records, and clinical support tools. S / he is responsible to assistin reviewing, building and maintaining clinical processes andprocedures to the Clinical Nutrition and Dietetics Leadership andTeam. The Clinical Support Assistant - Clinical Nutrition andDietetics role is responsible for the management and maintenance ofequipment and consumables for the Clinical Nutrition and Dieteticsdepartment. S / he is responsible for maintaining and managing thequality control and assurance of all equipment and consumableswithin the department. S / he ensures that equipment and consumablesare made available and placed for efficiency of access for staff.The Clinical Support Assistant - Clinical Nutrition and Dieteticsis responsible for ensuring that all duties are carried out to thehighest possible standard. S / he collects, verifies, records, andmaintains data on clinical activity; prepares associated reports asrequired. S / he orders and maintains inventories of supplies, asrequired to support day-to-day clinical support requests andadministrative operations requirements. S / he provides day-to-daystaff support, including preparing documents and reports, providingoffice services, scheduling and facilitating meetings and travelarrangements, and / or providing dictation or transcription services.S / he serves as a primary point of contact within the department andredirects to required persons within the department; providesdirect support in the areas of electronic records management, datamanagement, office systems and other related applications. S / he isresponsible for reviewing and tracking the ordering, procurementand tracking management of stock and equipment for the SpecialFeeds Unit. S / he will track and liaise with biomedical engineeringand materials management, organizing preventative maintenance ofspecialized equipment in the Special Feeds Unit. S / he performsmiscellaneous job-related duties as assigned. KEY ROLEACCOUNTABILITIES :
- Develops, collects, and maintainsclinical data, clinical files, clinical reports, and otherinformation concerning critical care issues, deficiencies, andimprovement opportunities, either manually or within an internaldatabase management system.
- Provides operational supportto Manager, in terms of clinical document control, and SeniorManagement, as assigned, and performing other duties, as required
- Collects and compiles clinical individual activity tocompile monthly productivity reports for senior management.
- Conducts periodic review / audit of files and clinicstrackers for accuracy and completeness.
- Collects andcomplies clinical data to report on departmental KPI’s.
- Collects and compiles clinical data for job planningreviews.
- Provides assistance to clinical staff with morecomplex technical tasks that require a higher level ofunderstanding of functions.
- Uses Electronic HealthRecord software to assist clinicians in clinical audits,observations and compiling of information
- Acts as thetechnical liaison between Clinicians and Sidra IT (i.e. raising Ittickets for Technical issues)
- Provides up-to-dateinformation on Nutritional product(s) to Clinical Nutrition Team.
- Maintains and tracks CND Clinical workflows and able toprovide excellent support to clinical staff with documents required
- Provides clinical application support to CND Clinicalteam as required.
- Updates and maintains internalsystems, databases, tracking tools, timelines and departmentalClinical plans with departmental specific requirements andinformation
- Responsible for assisting Clinical CND teamwith preparation, collation, review and tracking of alldocumentation required for approvals processes
- Performsdata quality reviews to ensure system accuracy in preparation forsubmission activities
- Produces quarterly qualityassurance report of the Special feeds units KPI’s forsenior management.
- Compiles performance reports - CNDmonthly reports for leadership, documentation audit reports.
- Provides onboarding staff with CND Orientation passport(provide non clinical orientation requirements) : wayfinding forSidra portal, departmental policies and procedures, LMS modules.
- Completes Schaptbook training and schedules new andfollow-up appointments.
- Requests departmental suppliesvia Oracle Fusion including supplies for the special feeds unitsuch as bottles, ancillaries, labels, feeds, equipment.
- Maintains departments education activities, appointments calendar : (Journal clubs, lunch and learn sessions, webinars).
- Tracks and manages the CND departments personal files (QCHPlicense, probation, performance reports, BLS, fire safety).
- Records and transcribes departmental meetings.
- Manages and Tracks CND Annual leaves, Rosters, sickness,and toil tracker.
- Manages and schedules appointments forNutrition representatives, HMC appointments.
- Communicates effectively, and contributes to positiveinterdepartmental relationships.
- Liaises withrepresentatives of Supply Chain, Biomedical Engineering, materialsmanagement, procurement and Facilities Management to ensure thatall medical devices, stock and supplies are available for patientcare.
- Performs basic administrative functions includingcalendar management, electronic records management, faxing,reception, maintain office systems to maximize efficiency.
- Maintains and reviews stock levels / inventory managementand co-ordinates the delivery of stock and equipment required forclinical / patient use.
- Ensures that confidentiality ismaintained in all transactions.

- Demonstrated knowledge of digital office technologyincluding electronic records management systems and communicationsystems.
- Excellent keyboard skills (minimum 40 words perminute) with a high level of accuracy.
- Skilled in theuse of digital office technology including electronic recordsmanagement systems and communications systems.
- Strongorganizational and administrative skills.
- Stronginterpersonal and communications skills and proven ability to workeffectively in a busy hospital environment.
- Proficiencywith Microsoft Office suite
- Fluency in written andspoken English
