What will I be doing?

Administrative and Coordination Support

  • Maintain and manage both the Food and Drinks and Kitchen departmental calendars, ensuring all meetings, training, and operational activities are properly scheduled.
  • Handle all calls, emails, and inquiries courteously and promptly, ensuring timely follow-up.
  • Provide day-to-day administrative support to the Food and Drinks Manager, Executive Chef, and other leaders within the department, including ad hoc tasks as requested.
  • Prepare and maintain accurate departmental reports, correspondence, and documentation in a systematic and organized manner.

Roster and Payroll Management

  • Assist in the preparation and management of staff rosters for both front and back-of-house teams.
  • Track attendance, leaves, and overtime, ensuring accuracy for payroll processing and compliance with company standards.
  • Coordinate with HR and Finance for timely submission and verification of payroll data.
  • Procurement and Inventory Coordination

  • Support the Kitchen team with purchasing requests, supplier coordination, and inventory documentation.
  • Monitor stock levels of kitchen supplies, uniforms, and administrative materials, ensuring availability and proper records.
  • Special Projects and Event Coordination

  • Assist in planning, coordinating, and executing special events, promotions, and projects for both Food and Drinks and Kitchen departments.
  • Coordinate with cross-functional teams to ensure smooth event execution and post-event reporting.
  • Travel and Logistics

  • Arrange travel itineraries, accommodation, and transportation for departmental management during business trips or training.
  • Health, Safety, and Compliance

  • Maintain updated records related to HACCP, hygiene audits, and safety checklists in coordination with the Kitchen leadership team.
  • Support with documentation required for audits, inspections, and brand compliance.
  • What are we looking for?

  • A passion for providing great service and meeting and talking to new people
  • Organized and accurate in every respect
  • Ability to multi-task efficiently while still meeting deadlines
  • Proficiency, at an intermediate level, with computers and computer programs, including Microsoft Office
  • Tertiary qualifications, or other collegiate-level degree, not required but preferred
  • Demonstrated ability to build effective internal and external hotel relationships
