Job description

JOB SUMMARY

Working as part of Radiology’s multi-disciplinary team, the Coordinator - Patient Imaging, under the direction of the Supervisor - Patient Imaging and Scheduling, provides excellent patient-focused care whilst performing accurate and timely scheduling activities at both the Out- and In-Patient Radiology sites for all modalities including complex DI / Radiology anesthesia scheduling. S / he provides courteous and efficient assistance for all patients, their families and other internal and external visitors / callers to Radiology. The scope and purpose are to provide frontline operational support to the clinical Radiology facility so that patients receive efficient and timely patient-centered care. The Coordinator - Patient Imaging performs basic reception / registration activities in support of the Radiology Processing Officer and may also perform other duties as assigned by the Supervisor - Patient Imaging and Scheduling.

Systems integral to Coordinator - Patient Imaging workflows may include :

  • Cerner Scheduling System, including limited SurgiNet application
  • Radnet application
  • Cerner registration application
  • Powerchart order entry
  • Biometrics, including palm scanning technology
  • Patient identification
  • Insurance necessity and eligibility applications
  • Capacity management patient transportation application
  • IT hardware including document scanning and barcode reader equipment

KEY ROLE ACCOUNTABILITIES

  • Performs consistent quality scheduling of patients to all modalities in Radiology to meet the needs of the patient and physician.
  • Consistently performs accurate Patient Identification practices, including proper PEARL record searches.
  • Initiates and advocates decisions in the context of patient experience and patient-centered care – which impacts patients, families, and physicians.
  • Involvement in pre-authorization and insurance verification during scheduling activities
  • Exceptional patient relations and communication in all telephone, email and / or face-to-face patient encounters to provide a superior 1st point of contact patient experience.
  • Observes and maintains patient privacy and confidentiality at all times.
  • Consistently performs the Patient Identification process, including patient wristbands and methodical implementation of the biometric system in Patient Identification practices
  • Performs accurate scheduling activities in assigned Radiology locations face-to-face, via telephone and by electronic methods. Shows ability and aptitude to function between modalities whilst maintaining proficient practice.
  • Performs scheduling of patients for all assigned modalities and associated preconditions, including consideration of :
  • Priorities and special needs.

  • Equipment resource availability, static and mobile
  • Multidisciplinary staffing involvement
  • Advanced scheduling of multi-modality and multiphasic exams
  • Advanced scheduling of DI / Radiology exams under anesthesia
  • Coordinates surgical pre-operative, perioperative and interventional radiology procedure bookings with surgical scheduling team for pre-operative activities and pre-procedural resource availability.
  • Identifies scheduling conflicts and adjusts schedule to best of ability. Escalates as appropriate to ensure resolution.
  • On scheduling initiates insurance eligibility, when appropriate, which may require direct contact with Sidra’s financial counselors and insurance authorization teams
  • Performs basic pre-registration tasks upon booking appointments.
  • Creates orders in Cerner for externally referred-in patients, transcribing the information from the provided requisition form.
  • Assists PACS Administrator, as scenario necessitates, to accurately copying patient imaging exams to CD / DVD from PACS for patient referral elsewhere
  • Assists and liaises with the Radiology Processing Officers in associated reception – basic registration duties as workload necessitates.
  • Adheres to departmental and organizational policies, procedures and regulatory standards and requirements.
  • Adheres to and promote compliance with the hospital’s radiation safety and protection and MRI safety policies and associated codes of practice and take appropriate action where non-compliance is evident.
  • Participation and compliance with quality improvement programs and competency assessment initiatives for Radiology services. Participates in mandatory training and actively practices continual professional development in alignment with Sidra’s professional development programs.
  • All other duties within the scope of the position necessary for the Radiology services to run efficiently, as assigned.

    QUALIFICATIONS, EXPERIENCE AND SKILLS

    ESSENTIAL PREFERRED

    Education

  • Diploma Graduate
  • Hospitality training certificate
  • Experience

  • 2+ years combined frontline experience, encompassing customer service, scheduling, reception experience
  • 1+ years combined frontline experience encompassing data entry, customer- hospitality service, reception experience and / or scheduling experience in a healthcare setting
  • Working knowledge of Radiology Departments
  • Previous exposure to Hospital Information Systems (HIS) and Radiology Information systems (RIS) advantageous
  • Certification and Licensure

  • Completion of Certified Healthcare Access Associate - US(CHAA) certification
