Provide administrative and operational services of events and creativity, including logistic arrangement of events, being focal points for gifts, handling documentations, inhouse video editor works, inhouse graphic designers to develop end-to-end video montages and printing and delivery of key collaterals, in accordance to PR&C procedures and directions from the supervisor to contribute to successful organization of events and effective communications.

Creativity Services : Assist with the videography and photography by editing visual element of materials and preparing montage for publications or use in collaterals or other documents. Assist with publishing press releases, articles and coverage in local and regional newspapers, periodicals, and magazines by editing visual elements and obtaining required approvals. Facilitate the production of creative deliverables by engaging and collaborating with creative agencies to improve the effectiveness of the communications, campaigns and branding. Acts as the focal point to supply required graphic artwork.
Events Management : Collect event information from all relevant departments well in advance and strictly adhere to the approved plan. Coordinate logistical arrangements of conferences, exhibitions, and other company related programs, including hall preparations, audio-visuals, banquets, coffee breaks, publications, and publicity to ensure smooth implementation and delivery of events / exhibitions. Assist with the preparations of materials and collaterals for the events by editing image and videos and ensuring distribution of materials to contribute the successful organization of events. Support the invitation of events by preparing lists of invites (internal and external) and following up on the confirmations. Handle post events evaluation by collecting feedback, evaluating and analysing the responses for sharing with the Management. Save & upload event-related outcomes, such as plans, projects, pictures for future reference. Handle photography for events and manage the publication of photographic content.
Documentation and Record Keeping : Develop and maintain profile and information database on copies, speeches, e media list and resources through systematic data filing for easy reference and in case of emergencies. Document and archive all Press releases by keeping the hard and soft copies for reference and easy retrieval.
Company Gifts, Purchasing and Storage : Identify and make available corporate gifts for different corporate events by preparing the annual gifts plan and coordinating with suppliers to ensure timely purchasing and delivery. Create and maintain the gift inventory by updating the SAP material purchase requisitions and service entries. Receive and process the requests for gift items by obtaining the approvals, order the gifts and forward the gifts to the concerned department. Ensure the store is maintained in good condition by following HSE standards. Keep record of inventory of gifts items in store through maintaining the database to anticipate reordering of needed items.
