Description Full‑time position reporting to the Associate Director of Enrollment
The Admissions Coordinator is responsible for supporting the admissions process for candidates applying to executive programs, ensuring smooth application handling and timely communication at every stage. The role focuses on operational coordination, accurate data management, and effective stakeholder collaboration to deliver an efficient, professional, and high‑quality admissions experience in line with the standards of HEC Paris, Doha.
Admissions Coordination
Serve as a primary point of contact for prospective candidates, providing timely and accurate information regarding admissions and enrollment procedures, requirements, and deadlines.
Conduct preliminary reviews of submitted applications in the CRM system to verify completeness of documents and information and follow up with candidates for any outstanding items.
Assist with the organization of admission interviews and coaching sessions, including scheduling, booking rooms, sending invitations and reminders, and maintaining detailed records of all sessions.
Prepare formal documents and letters for enrolled candidates and ensure proper validation, signature, and distribution to relevant departments.
Maintain proactive communication with applicants, sharing key deadlines, updates, and ad‑hoc information throughout the admissions process.
Prepare and issue Letters of Confirmation (LOCs) for panel members in a timely and accurate manner.
Coordinate with panel members and internal stakeholders to ensure efficient scheduling, communication, and delivery of all admissions‑related activities.
Data & Records Management
Maintain accurate and updated records of candidate information across shared systems and databases in line with admissions guidelines.
Ensure all inquiries, applications, transcripts, interviews, and other admissions‑related materials are properly recorded, updated, and stored in the organization’s electronic records system for each program.
Contribute to the preparation of weekly reports and the compilation of admissions statistics and insights for management and departmental use.
Qualifications Education and experience
Bachelor’s degree required, preferably in business or related field.
5+ years of relevant experience, ideally within the higher education sector.
Skills and competencies
Proficiency in Microsoft Office and Google Docs.
Excellent database management capabilities.
Experience with CRM systems or stakeholder management tools is an asset.
Proven ability to build relationships and manage interactions with stakeholders at all levels, including C‑suite executives.
Strong project management and organizational abilities.
Excellent interpersonal and presentation skills.
Detail‑oriented, proactive, and brand‑conscious, with a strong sense of initiative and accountability.
Excellent written and spoken English and Arabic, French is a plus.
