The Executive Secretary provides highlevel administrative support to executives and senior management ensuring efficient operation of the office The role involves managing schedules coordinating meetings handling correspondence and performing various administrative tasks to facilitate smooth business operations Key Responsibilities Manage and maintain executive calendars scheduling meetings appointments and travel arrangements Prepare and organize reports presentations and documents as needed Handle incoming and outgoing communications including emails phone calls and correspondence Coordinate and organize meetings including preparing agendas and taking minutes Screen and prioritize emails and phone calls for executives Manage confidential information with discretion Assist in preparing reports presentations and other documentation Liaise with internal departments and external contacts on behalf of the executives Perform general administrative tasks such as filing data entry and office supplies management Support special projects and initiatives as assigned Qualifications Bachelor s degree in Business Administration Secretarial Studies or related field Proven experience as an Executive Secretary or similar role Excellent organizational and multitasking skills Strong communication and interpersonal abilities Proficiency in MS Office Word Excel PowerPoint Outlook Ability to handle confidential information professionally Attention to detail and problemsolving skills Ability to work under pressure and meet deadlines
